What data we collect
We only collect information that you actively provide through the enquiry form:
Name — so we know how to address you.
Email address — so we can respond to your enquiry.
Phone number — optional, only if you want a call-back.
Message / enquiry details— the student's year group, subjects, goals, and anything else you choose to share.
Free report (lead magnet):if you submit your email via the “Examiner Blindspot Report” form, we collect your email address to deliver the PDF and may send occasional Nile Academy updates. This is direct marketing under PECR; the lawful basis is your explicit consent at the point of submission. You can unsubscribe at any time by emailing [email protected] with the subject “Unsubscribe”. Marketing emails will include an unsubscribe link. We do not share this list with third parties.
We do not use analytics cookies, advertising trackers, or third-party behavioural profiling on this site. Cloudflare (our hosting and CDN provider) sets a strictly-necessary cookie, __cf_bm, for bot management. This cookie does not track you across sites and does not require your consent under PECR (strictly necessary). No other cookies are set.

Why we use it (lawful basis)
We process your personal data under the following UK GDPR lawful bases:
ART.6(1)(a)Consent — submitting the enquiry form is your active consent for us to use your details to reply.
ART.6(1)(b)Contract— if you subsequently enrol, we process your data to deliver the tutoring service you've booked.
ART.6(1)(f)Legitimate interests — responding to legitimate academic enquiries and maintaining records of past enquiries for up to twelve months.

How long we keep it
Enquiry form submissions are retained for 12 months after our last correspondence, then deleted. If you enrol as a student or parent, operational records (lesson notes, invoices) are kept for up to 6 years after your last lesson to comply with HMRC record-keeping obligations.

Who else sees it (processors)
The enquiry form is delivered to our inbox via Web3Forms , a form-relay service that forwards submissions to our email. Their servers are based in the European Union and they act as a data processor under our instructions. We do not sell, share, or transfer your data to any other third party.
If you later enrol, we use standard personal tools (email, calendar, banking) to manage the lessons. We will tell you directly which services are involved before you sign up.
Session recordings:where a parent or guardian requests a session recording, the recording is stored on the tutor's encrypted personal device and shared only with the requesting parent. Recordings are deleted after 90 days or on request. No recording is made without prior written consent.

Your rights
Under UK GDPR you have the right to:

Children's data
Most of our tutoring clients are minors (ages 7–18). We do not accept enquiry form submissions directly from children under 18. The enquiry form is intended for a parent or legal guardian.
If you are a parent and believe your child has submitted personal data to us without your authorisation, please contact us and we will delete it immediately.

How we keep it safe
Form submissions are delivered over TLS-encrypted HTTPS. Our inbox is protected by Google's standard security (two-factor authentication, device verification). Lesson notes and invoices are stored on encrypted personal devices with full-disk encryption enabled.

Safeguarding & DBS
The tutor holds a current Enhanced DBS certificate — the highest level of background check available in the UK for anyone working with children. Certificate numbers are not published publicly anywhere on this site as a standard identity-security practice.
For any safeguarding concern — however small — you can reach the tutor directly on the email above. If you would prefer to escalate externally, you can contact the NSPCC Helpline on 0808 800 5000or your local authority's LADO. Full safeguarding procedure is published on the Terms of Service page.

How to complain
If you believe we have mishandled your data, we'd prefer to hear directly first so we can fix it quickly. Email [email protected].

Changes to this notice
